HELPING A GROWING UTILITIES BUSINESS TAKE CONTROL OF ITS FLEET

Utilities Industry

Helping a growing utilities business take control of its fleet

Introduction.

A privately owned, family-run multi-utilities company operating across Yorkshire and Lincolnshire needed more than basic fleet tracking.

As the business grew, so did its fleet, its operational complexity and the risks that came with managing vehicles and equipment across multiple sites. TritonTrak worked closely with the team to build a connected tracking and security solution around the way the business actually operated.

The Challenge.

The company wanted to reduce unnecessary costs across its commercial vehicle fleet and eliminate unauthorised out-of-hours use.

It also needed better visibility and security across a varied mix of assets, including vans, excavators, trailers, rollers and welfare units. With different types of equipment moving between sites, a standard off-the-shelf tracking system would not provide the coverage or control the business needed.

The solution had to work across the entire operation while remaining flexible enough to support continued growth.

The Approach.

TritonTrak began by understanding how the business used its vehicles and equipment day to day. From there, we recommended and implemented the right tracking devices for each asset type rather than trying to fit the whole fleet into one system.

Automated journey reporting gave the management team a clear record of vehicle movements, while site arrival and departure reports improved visibility across projects.

Remote immobilisation schedules and real-time alerts were introduced across vehicles and machinery, helping the business prevent unauthorised use and respond quickly when something was not right.

The relationship has continued for more than ten years. During that time, TritonTrak has provided ongoing, in-person support and adapted the solution as the company’s needs have changed. What began with 12 vehicles has grown into a connected fleet of more than 90 vehicles, machines and trailers.

The Results.

The company has completely eliminated unauthorised and private van use, generating estimated savings of around £32,000 per year.

Improved journey and site reporting has also helped reduce inaccurate overtime and overpayment claims, delivering further estimated savings of approximately £50,000 per year.

Automated reporting has reduced the administrative burden on the office team, giving them faster access to the information they need without manually piecing together vehicle and site data.

The security measures have also helped prevent the theft of two vans and four machines with a combined value of approximately £120,000.

Most importantly, the business now has greater confidence and control across a fleet that is more than seven times larger than when the relationship began.

TURNING COMPLEX HIRE FLEET INTO ONE CONNECTED OPERATION

Fleet Hire Industry

Turning complex hire fleet into one connected operation

Introduction.

A large regional hire company operating across the South East and the A4 corridor needed a clearer way to manage a growing, multi-site fleet.

Its operation covered plant machinery, cranes, concrete equipment, service vehicles and delivery vehicles, with assets moving across different depots, customers and sectors. TritonTrak worked with the business to bring everything into one connected system, improve control and protect revenue without compromising service.

The Challenge.

The company needed a coordinated overview of a large and varied rental fleet operating across multiple depots.

It wanted to improve visibility across plant, cranes, concrete equipment, service vehicles and delivery fleets, while giving customers greater security when hiring equipment.

There were also clear commercial and operational challenges. Off-hired equipment was sometimes still being used by customers, but without the evidence needed to recover the lost revenue. Servicing needed to be managed more proactively, delivery and collection times had to improve, and unnecessary vehicle mileage was adding avoidable cost.

As the business expanded through acquisition, the challenge became more complex. New depots, teams and equipment types all had different tracking, reporting and security requirements.

The Approach.

TritonTrak began by understanding the needs of a complex, multi-site business working across construction, agriculture, drilling and site investigation.

Rather than applying a single tracking method across the fleet, we introduced different technologies to suit different vehicles, machines and assets. This included battery-powered tracking for smaller, non-powered equipment that could not be connected to a conventional vehicle tracking system.

Alert protocols were built around specific customer requirements, specialist equipment, individual sites and agreed usage restrictions. This gave the hire company and its customers greater control over how and where equipment was being used.

As the business acquired new companies and opened additional depots, TritonTrak supported the integration of new fleets, systems and staff. Training was provided to help each team use the platform effectively and maintain a consistent view across the wider operation.

We also developed reporting tools for a fleet of more than 1,000 assets, making it faster and easier to access the information the business needed. Automated off-hire reporting provided clear proof when equipment continued to be used after a rental had ended, allowing the company to recover revenue that would otherwise have been lost.

The Results

The company now has total visibility across multiple depots, helping teams plan deliveries and collections more efficiently.

Better coordination means equipment spends less time sitting vulnerable on customer sites, while tailored alerts provide stronger security for both the hire company and its customers.

Improved fleet planning has reduced unnecessary running costs. Vehicles are rarely travelling without a load, helping the business reduce mileage, fuel use and the number of vehicles required to maintain its service.

Greater efficiency has also allowed the company to operate with fewer drivers and engineers, lowering payroll and creating a leaner business without reducing service levels.

Automated proof of continued use on off-hired equipment has delivered the biggest commercial impact, enabling the company to raise more than £300,000 in additional invoices each year.

BRINGING CLARITY AND CONTROL TO A NATIONWIDE CONTRACTING FLEET

Contracting Industry

Bringing clarity and control to a nationwide contracting fleet

Introduction.

A Birmingham-based contracting company operating nationwide needed a fleet management system that could support a complex, multi-division business.

With more than 120 vans, HGVs and management vehicles working across solar, scaffolding, roofing, construction, electrical and waterproofing projects, the company needed fast access to the right information without adding more admin.

TritonTrak worked with teams across the business to create a flexible system built around the needs of each division.

The Challenge.

The company’s existing provider was expensive, difficult to use and failed to deliver the level of service the business needed.

Each division operated differently, with its own management structure, reporting requirements and ways of working. The company wanted one coordinated view of the fleet, while still being able to control what different users and teams could see.

It also needed automated vehicle servicing information to help reduce maintenance and repair costs, improve customer call-out times and manage the fleet more efficiently.

With labour, fuel and vehicle costs increasing, the business needed better visibility of how vehicles were being used, particularly outside working hours.

The Approach.

TritonTrak met with stakeholders from every division to understand how each part of the business operated and what information its teams needed.

Rather than imposing one standard setup across the company, we configured the system around the structure and requirements of each division. Different users were given access to the information relevant to their role, creating greater visibility without overwhelming teams with unnecessary data.

Automated reporting and service information were introduced across the fleet, reducing the need for manual checks and giving teams the information they needed to respond more quickly.

Out-of-hours usage restrictions and reporting were also implemented, helping management identify unauthorised vehicle use and monitor overtime claims more accurately.

The result was one connected platform with the flexibility to support several distinct operations.

The Results

Improved fleet visibility has helped the company respond to service call-outs more quickly, strengthening the service it provides to customers nationwide.

Automated information and reporting have reduced office administration, saving time and allowing teams to focus on running their divisions rather than chasing fleet data.

Stricter control of out-of-hours vehicle use has reduced unnecessary mileage and delivered estimated fuel savings of more than £45,000 per year.

More accurate journey and working-time data has also helped reduce unjustified overtime claims by over £200,000 per year.

The company now has a simpler, more flexible system that gives every division the information it needs while providing management with a clear view of the whole fleet.

One connected fleet system configured around six different operations and the people running them.
