Introduction.

A Birmingham-based contracting company operating nationwide needed a fleet management system that could support a complex, multi-division business.

With more than 120 vans, HGVs and management vehicles working across solar, scaffolding, roofing, construction, electrical and waterproofing projects, the company needed fast access to the right information without adding more admin.

TritonTrak worked with teams across the business to create a flexible system built around the needs of each division.

The Challenge.

The company’s existing provider was expensive, difficult to use and failed to deliver the level of service the business needed.

Each division operated differently, with its own management structure, reporting requirements and ways of working. The company wanted one coordinated view of the fleet, while still being able to control what different users and teams could see.

It also needed automated vehicle servicing information to help reduce maintenance and repair costs, improve customer call-out times and manage the fleet more efficiently.

With labour, fuel and vehicle costs increasing, the business needed better visibility of how vehicles were being used, particularly outside working hours.

The Approach.

TritonTrak met with stakeholders from every division to understand how each part of the business operated and what information its teams needed.

Rather than imposing one standard setup across the company, we configured the system around the structure and requirements of each division. Different users were given access to the information relevant to their role, creating greater visibility without overwhelming teams with unnecessary data.

Automated reporting and service information were introduced across the fleet, reducing the need for manual checks and giving teams the information they needed to respond more quickly.

Out-of-hours usage restrictions and reporting were also implemented, helping management identify unauthorised vehicle use and monitor overtime claims more accurately.

The result was one connected platform with the flexibility to support several distinct operations.

The Results

Improved fleet visibility has helped the company respond to service call-outs more quickly, strengthening the service it provides to customers nationwide.

Automated information and reporting have reduced office administration, saving time and allowing teams to focus on running their divisions rather than chasing fleet data.

Stricter control of out-of-hours vehicle use has reduced unnecessary mileage and delivered estimated fuel savings of more than £45,000 per year.

More accurate journey and working-time data has also helped reduce unjustified overtime claims by over £200,000 per year.

The company now has a simpler, more flexible system that gives every division the information it needs while providing management with a clear view of the whole fleet.
